2. Scope

This policy applies to everyone at FFS Beauty, including employees, contractors, and teams who send marketing messages to our customers. It covers both email and SMS marketing.

3. Consent Requirements

We only send marketing messages if you have clearly given us permission. We collect consent through:

  • The checkout process in Shopify, where you can tick separate boxes for email and SMS marketing

  • Our official sign-up forms on the FFS Beauty website

We never buy or rent contact lists, and we never send cold outreach messages to individual consumers.

4. Transactional vs. Marketing Messages

Transactional messages such as order confirmations, shipping updates, and subscription notices may be sent without marketing consent.
All marketing emails and SMS messages will always include a clear unsubscribe link or opt-out method that works immediately.

5. Data Management and Suppression

Your marketing preferences are stored in your Shopify customer record and in our email platform, Brevo.

  • Hard bounces (invalid addresses) are suppressed after one attempt

  • Soft bounces (temporary delivery issues) are suppressed after three to five attempts

6. Monitoring and Compliance

Our Data Protection Officer, Des McManus, monitors compliance with this policy. Suppression rules and engagement lists are reviewed every month.

7. Breach Procedure

If we suspect a breach of this policy:

  1. The Data Protection Officer will investigate within two working days

  2. If confirmed, all sends to the affected list will stop immediately

  3. Suppression updates will be applied to all affected email addresses

  4. The cause will be recorded and fixes put in place to prevent it happening again

  5. The incident will be logged in our internal compliance records
